Our Administrative Assistant role enhances the overall effectiveness of ERT by providing administrative and secretarial support for key members of the organization. In addition, performs varied duties such as financial record keeping, international travel arrangements, and coordination of meetings and conferences (including seeing to video and audio technical needs). Assembles highly confidential and sensitive information. Deals with a diverse group of important external callers and visitors as well as internal contacts at all levels of the organization. Performs special projects as needed.

Responsibilities

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  1. Manages calendars and schedules appointments.
  2. Organizes programs, events, meetings or conferences by arranging facilities and caterers, issuing information or invitations, coordinating speakers and event budget (non sales meetings and events). Creates powerpoint slides as needed. Prepares and ensures timely delivery of the Board book.
  3. Maintains and publishes corporate monthly calendar as well as helps administer Senior Staff Meetings.
  4. Screens incoming calls and correspondence and responds independently when possible.
  5. Prepares agendas, notices, minutes and resolutions for corporate meetings.
  6. Performs complex and confidential administrative functions including developing written correspondence. Responds to routine external correspondence. Types memos and other department forms and documents.
  7. Arranges complex and detailed travel plans and itineraries.
  8. Prepares expense reports.

OTHER DUTIES AND RESPONSIBILITIES: 

  1. Provides relief support to the main reception desk.
  2. Performs other administrative functions as needed such as but not limited to: sending faxes, making photocopies, and other duties as assigned.

Qualifications

  1. Six to ten years prior administrative support experience required, including reporting to executive level management.  B.S. level degree (or equivalent combination of education and experience) required.  
  2. High level of competency with Word, Outlook and Power Point, mid level (or better) competency with Excel.  Familiarity with other data base systems such as Visio. Ability to become highly proficient in Google Apps - prior GAPP skills helpful.
  3. Ability to interact effectively with all levels of staff and external contacts. High level of professionalism and strong, positive ("can-do") demeanor required.
  4. Excellent written and oral communication skills.
  5. Prioritizes and plans work activities and uses time efficiently; maintains well organized files, information, schedules, etc.
  6. Demonstrates accuracy and thoroughness and monitors own work to ensure quality.
  7. Adapts to changes in the work environment, manages competing demands and is able to deal with frequent change, delays or unexpected events.
  8. Ability to exercise good judgment, tact, and confidentiality in all matters.
  9. Willingness to become Notary Public.
