Our Executive Assistant provides high caliber administrative support to assigned members of Executive Management team, improving the effectiveness of the Executive through administrative support.

Essential Duties and Responsibilities:

  1. Serve as primary administrative support to the assigned executive(s)
  2. Organize and prioritize the executive’s daily appointments and schedule, including internal and outside obligations.
  3. Handle travel arrangements (domestic and international)
  4. Arrange meetings and conferences, handling communication needs, logistical measures, and compliance or other documentation requirements.
  5. Call processing; maintain access and act as a gatekeeper to ensure prioritization of callers, both incoming and outgoing; deals with a diverse group of important external callers and visitors as well as internal contacts at all levels of the organization. 
  6. Produce, assemble and/or proofread highly confidential and sensitive information.
  7. Manage active calendars, compose and prepare correspondence, arrange complex and detailed travel plans, itineraries and agendas.
  8. Prioritize conflicting needs; handle matters expeditiously, proactively, and follow-through on projects to completion
  9. Work efficiently with other team members to provide exceptional support for the executive employee.

Other Duties and Responsibilities:

  1. Coordinate and handles special projects as assigned.
  2. Performs other related functions as delegated or assigned.

  1. BS level degree of education (or equivalent combination of education and experience) required.

Experience and Attributes:

  1. Progressive work experience of 10+ years in an administrative capacity; large corporation executive assistant experience preferred. Must have 2+ years of experience supporting executives at the C-Suite level.
  2. High level of competency with GApps and MS Office, including strong proficiency with spreadsheet and presentation applications.  Familiarity with other graphics and diagramming applications such as Visio helpful.
  3. Ability to work independently.
  4. Ability to interact effectively with all levels of staff and external contacts. High level of professionalism, integrity and strong, positive demeanor required.
  5. Ability to exercise good judgment, tact, and confidentiality in all matters.
  6. Highly intelligent and resourceful with the ability to think things through logically. Comfortable with and effective at prioritizing competing goals or work assignments.
  7. Excellent written and oral communication skills.
  8. Able to prioritize and plan work activities and use time efficiently; maintain well-organized files, information, schedules, etc.
  9. Demonstrated accuracy and thoroughness. Ability to monitor own work to ensure quality.
  10. Highly flexible and adaptable; able to manage competing demands. Comfortable with and able to deal with frequent change, delays or unexpected events successfully and professionally.
  11. May need to provide support outside of regular work hours in case of critical business need.
