    Our Boston office is looking for someone to answer phones, perform front desk activities, and provide general administrative duties in support of the office and the Human Resources Team. This person will also be providing general facilities support to the local site.

    Responsibilities

    ESSENTIAL DUTIES AND RESPONSIBILITIES:

     

    1. Receptionist duties:
      1. Answer main phones pleasantly and promptly, direct calls, take accurate messages when necessary, and deliver them promptly to the appropriate personnel.
      2. Greet visitors and ensure all security procedures and Standard Operating Procedures are followed by employees, delivery personnel, and visitors.
      3. Maintain a visitors’ log, issues badges and notify employees of visitor arrival.
    2. Provide general clerical support for the office
      1. Order, maintain, and stock all office supplies.
    1. Sort incoming mail and notify appropriate party when faxes and/or packages are received. Assist with outgoing mail, packages and materials.
    2. Host visitors and any arrangements required including setting up meeting rooms and ordering refreshments, breakfast and/or lunch.
    1. Provide administrative support to the HR Team
    2. Maintains HRIS (e.g. Oracle) data and other HR related systems & electronic personnel files, ensuring employee profile information, audits organizational charts, documents and manuals are kept current, accurate, confidential, and in compliance with company policies and government regulations. Maintains and updates site-level employee metrics for reporting purposes.
    3. Maintain personnel files both paper and electronic (including memos, contract and offer changes etc.) throughout employee lifecycle
    4. Assists with/processes all payroll changes for payroll processing
    5. Assist with training arrangements and collate employee training records and evaluations.
    6. Support special HR projects as needed.
    1. Facilities:
    1. Serve as Liaison between ERT staff and building management on building needs, e.g. maintenance, repair items, general building issues and communicate building-related issues back to staff.

     

    OTHER DUTIES AND RESPONSIBILITIES:

     

    1. Organize, obtain approval on and deliver incoming invoices, checks and/or purchase orders.
    1. Update telephone directory and mail bins, as changes occur.
    2. Maintain reception area, supply rooms and kitchen areas, which includes ordering all supplies (coffee, tea, soda, etc.) and keeping in a generally neat and acceptable order.
    1. Assist other departments with special projects, as needed.

    Qualifications

    QUALIFICATIONS AND SKILLS NEEDED: 

     

    1. Bachelor’s degree in business related field, plus 1-3+ years of strong administrative and receptionist experience (or combination of education and experience).
    2. Must be well spoken and maintain a professional image when dealing with staff and public.
    3. Maintain high degree of confidentiality and tact.
    4. Ability to work in a front desk environment with the demands and constraints of manning reception and maintaining multiple priorities while maintaining pleasant and welcoming demeanor.
    5. Strong computer literacy in Microsoft Word, Excel, PowerPoint and email.
