    ERT - Philadelphia is hiring a Contracts Associate who will assist the Contracts team with the contracting processes for the organization. Responsibilities are focused on contract preparation, document management/tracking and general administrative duties.

    Responsibilities

    ESSENTIAL DUTIES AND RESPONSIBILITIES:

    1. Monitors/updates all related data in the central database to ensure that accurate and concise information is obtained and captured to allow reporting of booked business. Assists with disseminating reports of database information.
    2. Analyzes project specifications including budget and proposal and coordinates with Project Management, Finance or Sales on the specifications for inclusion in the contract documents.
    3. Drafts assigned contract documents in accordance with departmental SOPs and departmental policies and guidelines to ensure we are managing and monitoring our risk in our contracts and related documents.
    4. Manages document workflow through contract lifecycle to ensure all internal approvals received for all contract documents created.
    5. Coordinates with internal ERT stakeholders including the Executive Management Team, Finance, Sales, Project Management and Operations on the specifications of the contract or contract change(s)..
    6. Participates in meetings with Contracts team, Sales to Services meetings and other departmental meetings as needed.
    7. Provides general support and assistance to Contracts team when necessary including filing, generating outgoing correspondence, archiving, obtaining contract signatures and facilitating the courier shipments of executed contract documents.
    8. Review and process Site Indemnification Agreements.
    9. Review and process Confidentiality and Non-Disclosure Agreements when circumstances dictate.

    OTHER DUTIES AND RESPONSIBILITIES:

    1. Assists Sales with client strategies related to contracting.
    2. Attends client meetings and participates on client calls individually and/or with Sales as needed.
    3. May assist in the mentoring and training of new staff.
    4. Provides other support and take on other responsibilities as defined by team lead or team management.
    5. Performs other duties, assignments or special projects as needed.

    Qualifications

    QUALIFICATIONS AND SKILLS NEEDED:

     

    1. Bachelor’s Degree or company specific or proven related experience in contracting. A combination of experience and/or education will be taken into consideration.
    2. 0 - 2 years prior experience in commercial contracting or related experience required.
    3. Basic understanding of standard concepts, practices and procedures in commercial contracting.
    4. Paralegal certificate, Finance or Legal background/experience a plus.
    5. Strong background and experience with Microsoft Office.
    6. Excellent judgment, attention to detail, communication and direct customer skills plus the ability to work as part of a team as well as individual contributor.
