ERT - Philadelphia is hiring a Contracts Specialist who will manage the contracting processes for the organization.  Responsibilities are focused on contract preparation and mediation, and also include data and document management/tracking and reporting. Manages and monitors the business and legal risk in contracts and related documents.

In this role you will:


  1. Coordinates with internal ERT stakeholders including the Executive Management Team, Sales, Project Management and Operations on the specifications of the contract or change in scope including all non-standard terms and conditions.
  2. Analyzes the project specifications to verify approach including services and required contract terms.
  3. Drafts contract documents (e.g. Work Orders, Change Orders, CDA’s, Master Services Agreements and Third Party Agreements), and manages the contract language in accordance with ERT departmental SOPs and departmental policies and guidelines to ensure we are managing and monitoring our risk in our contracts and related documents. Remains primary contact for Sales on contract related matters.
  4. Provides interpretation and analysis of contract terms.
  5. Manages contract workflow through the contract lifecycle to ensure all internal approvals received for all documents created.
  6. Maintains all related data in the central database to ensure that accurate and concise information is obtained and captured to allow reporting of booked business, backlog and forecast information. Accuracy of captured data is essential since the information is disseminated throughout the organization to Finance, Sales, Operations and Project Management including all relevant integrated business systems.
  7. Participates in meetings with Contracts team, Sales to Services meetings and other departmental meetings as needed.
  8. Performs the initial review of contracts prior to submitting to the team management, ERT General Counsel or an authorized designee to make sure all terms and conditions of are acceptable.
  9. Maintains an organized file structure for all documents in process to facilitate final QC of contract records, activation and filing.
  10. Other duties may include:
    1. Assists Sales and Project Management with client strategies related to contracting.
    2. Attends client meetings and participates on client calls with Sales as needed.
    3. May provide peer review as required and needed.
    4. May assist in the mentoring and training of staff.
    5. Provides other support and take on other responsibilities as defined by team lead or team management.

Our ideal candidate will offer:


  1. Bachelor’s Degree or company-specific or proven related experience in contracting. A combination of experience and/or education will be taken into consideration.
  2. 2+ years Commercial Contracting experience or related experience with a good understanding of concepts, practices and procedures in commercial contracting.
  3. Pharmaceutical and/or CRO background a significant plus.
  4. Experience in a fast paced, multi-task environment; ability to work independently and under pressure.
  5. Exceptional computer skills (MS office suite (to include advanced Work and Excel skills) minimum).
  6. General risk analysis skills.
  7. Exceptional organizational skills.
  8. Excellent personal interaction skills, professional telephone and client interaction skills. 
  9. Excellent judgment, attention to detail, communication and customer skills plus the ability to work as part of a team as well as individual contributor.
